Information we collect
- Enquiries: your name, email address, phone number, organisation and the details you share when you use our contact form, email or call us.
- Client work: contact details for client staff, trustees and partners, and the information needed to deliver an agreed piece of work, such as funding applications, governance reviews or business cases.
- Website use: technical information such as your browser, device and pages visited, collected through cookies (see below).
We do not intentionally collect special category information. If it is needed for a specific piece of work, we will only handle it where the law allows and with appropriate safeguards.
How we use your information
- To respond to your enquiry and arrange meetings.
- To agree, deliver and invoice for our services.
- To meet our legal, accounting and insurance obligations.
- To keep our website secure and understand how it is used.
We do not sell your personal information and we do not use it for automated decision-making.
Our lawful bases
We rely on: contract (to deliver work you have asked us to do or to take steps before agreeing it); legitimate interests (to respond to enquiries, run our business and keep in touch with clients and partners); legal obligation (for example, tax and accounting records); and consent (for non-essential cookies, which you can withdraw at any time).
Who we share it with
We only share information where needed, with:
- service providers who support our business, including website hosting (Squarespace), email and secure document storage (Microsoft 365) and accounting software;
- professional advisers such as accountants, lawyers and insurers;
- funders, partners or other organisations, only where this is part of work agreed with you;
- regulators or authorities where the law requires it.
Some providers may process information outside the UK. Where they do, we rely on appropriate safeguards recognised under UK data protection law.
How long we keep it
- Enquiries that do not lead to work: up to two years.
- Client and project records: six years after the work ends, to meet legal, accounting and insurance requirements.
- Information is then securely deleted.
Keeping it secure
Client files are stored in encrypted cloud storage with multi-factor authentication and controlled access, and both companies are covered by cyber insurance. We regularly review our security arrangements.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to data portability. Where we rely on consent, you can withdraw it at any time. To make a request, email greg@parkerbay.co.uk. We will respond within one month.
